Job Description

Job Purpose:

Ensure high level coordination & administrative support for concerned department with good understanding of Department's business by maintaining confidently element.

Job Responsibilities:

  • Provide coordinate and administrative support for concerned department.
  • Gather, compile, verify and analyze information to use in documents such a memo, letters, fortnightly reports, presentation.
  • Facilitate smooth communication between the department head and other executives, managers and employees; and between the department head and external parties.
  • Answer or redirect routine inquiries from internal or external sources
  • Handle confidential information and maintain the security of department head records sources.
  • Handle confidential information and maintain the security of department head records and files.
  • Maintain the department head office records, monitor and review standard documents such as 3Ds, org charts and deliverables.
  • Perform other administrative tasks using independent judgment
  • Provide full support to department in terms of tasks related to concerned division.
  • Manage the department head appointments and schedules and make travel arrangements to make best use of their time.
  • Plan, organize and schedule own workload so that all related assigned activities are completed accurately and on time, which may include preparing documents and presentation materials, screening and responding to incoming correspondence, inquiries and phone calls, drafting letters, arranging meetings, taking and communicating minutes.
  • Timely completion of any other tasks assigned by the department head.
